Cancellation and refunds

This is a draft. It describes accurately what the software does with data and money. It has not been reviewed by a lawyer, and nothing here should be read as a claim that Aegis is compliant with the law of any particular country until that review has happened.
Cancelling
You can cancel from the billing screen at any time, without talking to anybody. Cancellation takes effect at the end of the period you have already paid for — you keep full access until then, and you are not charged again.
After that the workspace becomes read-only rather than closed. You can still sign in, read everything and export it. We do not lock an agency out of its own records to encourage it to resubscribe.
Reactivating
Subscribe again and the workspace comes straight back with everything in it, as long as the data has not passed the deletion window in the privacy notice. Nothing needs to be re-imported.
What we refund
- A charge that was our mistake. Billed twice, billed after you cancelled, billed the wrong amount — tell us and we refund it in full, without argument.
- A first payment you did not mean to make. If you subscribe and tell us within 14 days that it was a mistake, we refund it, provided the workspace has not been used substantially in the meantime.
- An outage that made the product unusable for a meaningful part of a billing period. Tell us what you could not do and when, and we will credit or refund the affected time.
What we do not refund
- The remainder of a period you decided partway through not to use. You keep the access to the end of it instead.
- An annual plan partway through the year, unless local consumer law gives you that right — in which case it does, and we will honour it.
- Results. Aegis is software for running an agency; it does not promise a commercial outcome and we do not refund because a campaign underperformed.
How a refund happens
Write to billing@aegis.example with the date and amount, and the last four digits of the card — never the full number. A refund is issued back to the same card by our payment provider; it typically appears within five to ten working days depending on your bank, and that timing is the bank’s rather than ours.
Every refund is recorded against the person at Aegis who issued it, with the reason. That is enforced by the system — a refund cannot be written without an author — which is why we can always tell you exactly who approved one and why.
Changing plans, not cancelling
If Aegis is too expensive rather than not useful, move down a plan instead. Before the change happens we check whether everything you have fits in the smaller plan; if it does not, we tell you exactly what would not fit and refuse the change rather than quietly deleting anything. Upgrades take effect immediately and are prorated by the payment provider.
Chargebacks
If you think a charge is wrong, please write to us first — we can usually fix it the same day. Raising a chargeback with your bank starts a formal dispute with a short deadline and generally takes longer to resolve than asking us does. We record disputes when the provider tells us about them, and we will always send you what we hold about the charge.
The honest part
This policy describes what the software actually does. It has not been reviewed by a lawyer, and consumer protection law in your country may give you more than this page offers. Where it does, the law wins — we will not use a policy page to take away a right you have.
